Bylaws and League Rules 2022

In preparation for the launch of the 2022 Softball Ulster League, the Softball Ulster Council have published the 2022 Bylaws and League Rules document. The Bylaws and League Rules will be agreed at the Captains Meeting to be held virtually on Friday 29th April 2022.

Revised Constitution

Thank you to everyone who attended the Extra-Ordinary General Meeting on Thursday 2nd December 2021. Following on from this meeting, Softball Ulster are pleased to release the updated constitution. This constitution now includes a dissolution clause, which will help the Softball Ulster Council apply for grant and sponsorship funding in the coming year.

The Softball Ulster Council will be completing a constitution review in 2021, with the aim of modernising our governance structures.

Extraordinary General Meeting

Dear Registered Member of Softball Ulster,

Notice is hereby given for an Extraordinary General Meeting (EGM) of the Softball Ulster Membership to ratify the outcomes of the Annual General Meeting, where quorum was not achieved.  The Extraordinary General Meeting will take place on Thursday 2nd December at 7pm.

It is important that quorum is met at this EGM to progress the activities of the Softball Ulster Council in the 2022 season.  To reach quorum we require 1/5 of the membership to be in attendance, which equates to 34 members or approximately 5 members per team.  To facilitate this, Softball Ulster are holding the EGM virtually.  If quorum is not met, Softball Ulster will be required to call further EGM(s) until it is achieved.

An agenda for this meeting can be accessed by clicking here.  The main points of business that Softball Ulster requires at this meeting includes:

  • Ratification of Victoria Denstedt co-opted as Treasurer
  • Ratification of Laura O’Connor co-opted as Secretary
  • Ratification of Casey Purcella co-opted as Media Officer
  • Ratification of Sean Gottschalk co-opted as Chief Umpire
  • Ratification of Andrew Craven as SU representative to SI Board
  • Ratification of Andrew Craven as SU representative to the SI AGM
  • Ratification of Jay Slevin as the auditor for the 2022 season
  • Vote to agree the minutes of the 2020 AGM
  • Vote on the addition of a dissolution clause to the SU Constitution

A discussion will also be held with the membership at the EGM on the issues Softball Ulster has with achieving quorum, and options that the SU Council can pursue to ensure that quorum is met at future meetings.  These discussions will filter into the constitution review that will take place in 2022.

Please note that no paper copies of the accounts, agenda, bylaws, or constitution will be distributed.  To save on cost and resources these will be emailed out in advance of the meeting so you can view them on your own electronic devices or print out copies for your own records.  Please note that the most up to date bylaws and constitution are currently available in PDF format on the Softball Ulster website.

We would like to re-iterate the Softball Ulster Council’s hope that most of you will attend this very important meeting on Thursday 2nd December 2021 at 7pm.

Annual General Meeting 2021

Dear Registered Member of Softball Ulster,

Notice is hereby given that the Softball Ulster Annual General Meeting (AGM) will take place on Sunday 24th October 2021 at 2pm.  It is hoped that the meeting will be face-to-face, with a venue to be confirmed shortly.  Please note that should further COVID-19 restrictions be implemented the AGM will continue to take place on this date virtually.  We would request that as many Softball Ulster members attend the AGM as possible, to help us plan for the season(s) ahead.

Softball Ulster are also seeking nominations to the following positions on the Softball Ulster Council in 2021:

  1. Vice Chair – View Role Description
  2. Secretary – View Role Description
  3. Treasurer – View Role Description
  4. Media Officer – View Role Description

Softball Ulster would also like to seek the ratification of Sean Gottschalk as Chief Umpire.

If you would like to be considered for a position on the Softball Ulster Council, please forward your nomination (and have it seconded by another Softball Ulster member) to secretary@softballulster.com before 6pm on Friday 22nd October 2021.  Please note that if more than one person is nominated to a council position, a vote of the membership in attendance will be required.  All terms are for two years.  Further information regarding the responsibilities of each council position is attached to this email.  The 2021 Softball Ulster Council would encourage all teams to put forward representatives to the 2022 Softball Ulster Council to ensure they all have a voice on policy and administration of the league in 2022 and beyond.  Should you wish further information about the roles and responsibilities please contact secretary@softballulster.com or chair@softballulster.com

Softball Ulster will also be seeking nominations to the additional roles of:

  1. Auditors for the 2022 accounts.
  2. Representative to the Softball Ireland Board.
  3. Representatives for the Softball Ireland AGM.

Once again, if you would like to be considered for any of these roles please forward your nomination (and have it seconded by another Softball Ulster member) to secretary@softballulster.com before 6pm on Friday 22nd October.  All terms are for one year.

The 2021 Accounts will be emailed and posted on the SU website in advance of the AGM, following the close of the financial year on 30th September 2021.
